Reports to: Company Secretarial Manager

Overall purpose: 

You will be working directly for approximately 6 fee earners, assisting in any secretarial and/or administration work that they require.  You will be jointly responsible (with other secretary/administrator) for any general administrative work required within the department.  You will work closely with second secretary/administrator and share workloads as and when necessary to ensure that all work is carried out in a timely manner.

Responsibilities will include but will not be limited to: 

  • Use of Bighand dictation system
  • Typing of letters and other correspondence, minutes, attendances etc.
  • Copy-typing M&As and other documents
  • Maintain index of company seals and signing out as required
  • Maintenance of GSL distribution list
  • Preparing of labels and envelopes
  • Matter inceptions and subsequent set up of jiffex files
  • Dispatching of invoices through relevant software (Expert)
  • Sending out correspondence
  • Arranging for courier packages to be sent out
  • Attending Dept of Foreign Affairs, Notary, Companies Registration Office etc.
  • Photocopying and scanning of documents
  • Printing board papers and other documents
  • Obtaining cheques and petty cash as required
  • Ensuring stationery cupboard is well stocked – weekly stock check
  • Ensuring that printers and photocopiers are well stocked with paper
  • Re-directing of post received for client companies
  • Sorting and filing correspondence and other paperwork in correspondence files
  • Archiving files, retrieving files from archives, maintaining list of archive contents
  • Answering telephones
  • Inputting information on company secretarial software package, Relate
  • Filing documents through CORE
  • Drafting CRO documents
  • Drafting board minutes
