Managing Suppliers Responsibly Policy
Purpose
This Managing Suppliers Responsibly Policy (the Policy) sets out the minimum standards expected of all third party suppliers engaged by ALG. These standards support our obligations in safeguarding client data, managing operational and regulatory risk, and upholding our environmental social governance (ESG) commitments. Compliance with this Policy is a condition of doing business with us. Incorporating sustainability considerations into supplier procurement decisions helps us manage risk responsibly, operate more efficiently and create long term, sustainable value across ALG.
Scope
This Policy applies to the purchase of goods and services for and on behalf of ALG, including all new suppliers and contract renewals. This Policy and ALG’s performance in meeting its requirements will be monitored and reviewed, at a minimum, on an annual basis.
Principles and commitments
Where reasonable and appropriate ALG endeavours to:
- Educate key suppliers on our expected standards by ensuring our policy has been circulated in advance of doing business with them.
- Undertake risk-based reviews of key suppliers on a regular basis.
- Apply sustainability criteria when awarding contracts at all times (including how our choices affect the environment, energy use and efficiency, and how we reuse and recycle resources) and where feasible, give preference to local suppliers and products to reduce environmental impacts and support the local economy. Treat all suppliers professionally and fairly.
- Suppliers working on our premises or having access to our systems must observe our security and safety procedures. They must have adequate systems for managing risks to safety, health, the environment, and data.
- Suppliers must respect our obligations to clients and professional conduct rules. Respect internationally recognised human rights and address supply chain impacts, including modern slavery, through prevention, mitigation, remediation and, if needed, termination.
Our expectations of suppliers
Engagement
Provide us with relevant information on ESG matters, modern slavery risks and compliance with this Policy and the ALG Third Party Compliance Standards when requested.
Compliance with responsible business practices
Comply with all applicable local laws and mandatory requirements including, but not limited to, health and safety legislation, environmental policies, minimum legal wage by law in supplier’s jurisdiction and any local diversity and inclusion regulations. All suppliers are encouraged to regularly contribute to their local communities.
Sustainability
Where possible, commit to setting science-based targets and provide evidence of performance on request. All suppliers should try and monitor their own supply chain and reduce any adverse ESG impacts on its operations.
Compliance
We expect suppliers to carry out appropriate due diligence to show that they are meeting these obligations, both in regard to their own business operations and their supply chains and to take appropriate steps to remedy any failures. Suppliers should note that non-compliance with this Policy may result in escalation, delays, and restrictions on supplier engagement.
Review cycle
The Policy shall be reviewed annually by Risk & Compliance, Responsible Business and Information Security teams to assess any areas for improvement.
This Policy forms part of a broader framework and should be reviewed together with the Third Party Compliance Standards.
