Personal Assistant - Litigation

We are seeking a Personal Assistant (PA) to join our Belfast Litigation Department. In this role, you will be supporting our Employment and Restructuring & Insolvency teams.

The role of a PA in A&L Goodbody (ALG) provides an opportunity for involvement in multi-jurisdictional matters/projects working with an international client base. Our PAs provide essential administration support to Partners/Fee Earners working as part of a wider unrivalled Litigation team to provide seamless delivery to our clients and to contribute to the success of the Firm.

As a PA your role will involve the following:

  • Providing efficient administrative support service to Fee Earners, including the preparation of high quality documents, proposals and presentations;
  • Fast accurate document production on Litigation matters: preparation of a high volume of court files and trial bundles with tight timescales;
  • Onboarding all new clients whilst adhering to the Firms compliance procedures;
  • Extensive diary management, using Microsoft Outlook;
  • Booking conferences, travel and accommodation using travel management software;
  • Assisting with drafting correspondence and administration tasks;
  • Supporting Fee Earners with invoicing to include preparing invoices, issuing invoices, and following up outstanding invoices.
  • Updating our document management system and providing accurate and timely assistance with soft & hard copy filing;
  • Assisting with other ad-hoc administrative and project requirements;
  • Proactive support across all other departments on a needs basis.

Requirements

Essential

  • Experience of working as a PA in a professional services/partnership environment.
  • Current working knowledge of Microsoft Office including Word, Excel, PowerPoint and Outlook.
  • Proactive, professional can-do attitude with exceptional attention to detail and pride in work.

Desirable

  • Experience of using digital dictation systems such as Bighand.
  • Experience of using time recording and invoicing systems such as Expert.
  • Experience of matter inception and working with document management systems such as Intapp Open or iManage.
  • A competence in creating presentation material in line with our ALG Way communication style.
  • Ability to create professional presentations in line with our brand guidelines (ALG Way).
